Zapier is a great first automation. It is rarely a great fiftieth automation.
Make: the volume one

- Weaknesses: the learning curve is real, and error handling on long chains can get fiddly. It is also still a closed platform: you run inside Make's limits, and heavy custom logic eventually feels cramped.
n8n: the powerful one
n8n is the tool we reach for most, and the one on our own stack. It is source-available, you can self-host it (your data stays on your server, and the license cost can drop to zero), and it treats code as a feature instead of a workaround: when a step needs real logic, you write it directly inside the workflow.
- Strengths: depth. Native AI nodes and agent patterns, LangChain integration, custom code steps, self-hosting, and workflows with hundreds of steps that stay debuggable and stay yours. For AI-heavy automation, reading messages, deciding, calling models, acting on the result, nothing else in this trio comes close.
- Weaknesses: it is the most technical of the three. Non-technical teams can use n8n cloud comfortably, but self-hosting and advanced workflows are builder territory. That is exactly where we usually come in.

When a business asks us which tool to pick, the honest answer is a sequence of three questions:
- How many times a day will this run? Low volume favors Zapier. High volume favors Make or n8n, because per-task pricing punishes success.
- Does any step need judgment? If a step needs to read something and decide (an inquiry, an invoice, a lead), you want AI in the workflow, and that favors n8n heavily.
- Who maintains it? If the owner maintains it, choose the tool they can actually operate. The best tool is worthless if nobody in the business can touch it.
